About City Arts Centre

Since 2000 the City Arts Centre has been sparking creativity in people of all ages and artistic abilities. We are known for providing community based art programming taught by a local team of skilled artists and professionals who are passionate about infusing art and culture within the city of Edmonton. Some patrons are returning students who want to develop a skill in a specific art medium, while others are new to our programs and are exploring something new for the first time. Classes are added and changed to respond to the needs and interests of the community, providing new opportunities for lifelong and future learners. City Arts offers child, youth, family and adult art classes. Our friendly instructors and reasonable cost make learning art fun and affordable.

City Arts Centre is centrally located in Garneau, but we also offer many art programs at various City of Edmonton recreation facilities across the City of Edmonton including: ACT Leisure Centre, Central Lions Senior Centre, Clareview Community Recreation Centre, Dr. Anne Anderson Community Recreation Centre, Jasper Place Annex, John Janzen Nature Centre, Terwillegar Community Recreation Centre, Mill Woods Recreation Centre, Muttart Conservatory, The Orange Hub, Yorath House, and the Edmonton Valley Zoo.

Job Opportunity

The Program Coordinator – Adult, Performing Arts and Recreation is responsible for the successful planning and implementation of registered arts programs, which include 100+ classes  per semester  (400 on average per year) in Dance, Music, Theatre, Craft Cooking/Baking and Writing and other activities offered at City Arts Centre and 13 or more outreach locations within the City of Edmonton. Key responsibilities will be liaising with other City of Edmonton partners with the allocation of space to ensure positive delivery of programs, oversight of all program logistics including staffing, scheduling, art equipment maintenance, supplies and support to instructional staff. In addition this position will be responsible for supervising 30+ Program Specialists, Art Instructors. The Coordinator ensures the smooth running of all programs and is responsible for all administration of classes in the Move/Learn/Play website alongside student interactions outside the classroom. This position requires a confident professional with a strong ability to manage multiple priorities.

In this role you will:

  • Provide day to day supervision, coaching and mentoring of Program Specialists Art Instructors and administrative staff in collaboration with Program Manager
  • Provide leadership in developing, coordinating, monitoring and evaluating new and established programs within registration, revenue and expenditure guidelines
  • Ability to prioritize tasks, strong sense of time management and a high level of attention to detail when planning, developing and implementing four program seasons and maintaining working timelines and deadlines
  • Create a variety registered programs such as 8 to 10 week programs and shorter workshops
  • Ensure timely research and planning of interesting, new and unique programs for a wide variety of audiences with varying ability levels to fit program planning and area deadlines
  • Recruit, onboard, supervise, retain and evaluate staff and volunteers as required for the effective delivery of programming
  • Prepare, monitor and update seasonal promotions and event schedules, create program publicity and promotional material using print ads and social media content
  • Collaborate and develop relationships with organizations, agencies, partners, individuals and internal stakeholders for effective coordination of Adult programs
  • Assist with all other City Arts Centre Programs such as drop-in programs, group programs, events and spring break and summer camps
  • Coordinate supplies, equipment and registration information for City Arts Centre and all Outreach facilities to ensure successful delivery of programs
  • Develop program resources such as curriculum, supply lists, participant handouts and procedural manuals for instructional staff and support volunteers
  • Contribute to strategic planning and implementation through articulating and researching artistic programming and branch objectives
  • Arrange personal and required staff training (Onboarding, Peoplesoft, Learning Management System, etc.) and maintain facility orientations and all safety and certification documents
  • Perform classroom observations, evaluations and lesson plan reviews
  • Monitor program budget and complete all procurement payment procedures including payment requisitions and corporate procurement card reconciliation
  • Direct day-to-day tasks and communications for adult programs; check registrations, waitlists and collaborate with administration for registered program callouts
  • Complete all necessary follow-up on customer concerns and comments with regard to programs and forward them to supervisor when appropriate
  • Provide regular status reports and metrics on all program related activities, including customer satisfaction and feedback, attendance and fill rates
  • Foster, promote and administer diversity, inclusion and engagement culture
  • Perform related duties in keeping with the purpose and accountability of the job
  • Ensure a high standard of customer service is provided at all program locations
  • Other related duties as required.

  • Post secondary degree/diploma in Arts Administration, Recreation Administration, Fine/Performing Arts, Education or a related discipline
  • One year in program delivery and a minimum of (6) months staff supervision
  •  Proven ability for exceptional customer service is an asset
  • Strong knowledge of best practices and current trends and contemporary practices in Performing Arts such as dance, music, theatre, craft, cooking/baking and writing, among other art mediums
  • Advanced interpersonal skills, able to relate and interact with multiple stakeholders and work in a dynamic team environment
  • Proven ability to communicate and operate well in a collaborative, high energy, and dynamic work environment
  • Detail oriented and extremely organized, as well as being a self starter, creative thinker and confident professional
  • Supervisory experience with ability to lead, coach and mentor staff, solve problems and resolve issues that arise in programs and from patron feedback
  • Ability to develop and deliver interesting and unique programs that meet customers’ needs with tenacity and passion for the arts
  • Excellent communication skills (written and verbal), and ability to facilitate meetings appropriately
  • Proficiency in Google Workspace including Gmail, Google Docs, Google Sheets, and Google Forms
  • Previous experience with Intelli Program Registration and Taleo is considered an asset
  • Knowledge and experience with a variety of social media platforms such as Twitter, Facebook and Instagram
  • Current Intermediate First Aid and CPR, Level C is a requirement of this position
  • Hire is dependent upon a Police Information Check including Vulnerable Sector check satisfactory to the City of Edmonton
  • Valid Alberta Class 5 driver’s license (or provincial equivalent). Must arrange own transportation to be reimbursed in accordance with City of Edmonton policy. This may require business auto insurance
